The St. Agnes team uses every aspect of the SmarteXp® platform to educate, engage, and activate their patients. Malissa Trenholm, Senior Communications Specialist at Saint Agnes Medical Center, joined us for our July 2019 User Group to share some of their strategies and tactics.

  • Thinking strategically helps the team at St. Agnes focus on the big picture to leverage the SmarteXp platform.

  • Scheduling 15 minute monthly calls with her UbiCare Client Success and Outcomes Manager helps to generate ideas and set priorities.

  • Setting aside a few minutes one afternoon per month, usually on a Friday, helps Malissa to focus on strategy and planning.

  • Internal partners, like IT, the web team, and clinical staff, make the program better by providing fresh insight and ideas.

  • Creating community partnerships to generate enrollment is a new idea the St. Agnes team is exploring.

Send Campaigns to Engage Patients

  • Always add a call to action
  • Customize UbiCare provided campaigns with hospital-specific information
  • Clickable digital graphics in messages draw attention
  • Cross-promote other services like Urgent Care
  • Use the scheduling wizard to send out campaigns automatically

Promote Enrollment at Multiple Touchpoints

  • Create a user-definable field to capture referral source and physician name so you can track and thank referring practices

  • Offer incentives: a catered lunch to referring practices with high signup rates or raffle baskets in waiting rooms that moms can win

  • Have signup information in a wide variety of online and offline places: Hospital and practice websites, Maternity Education classes, Stork Tours, OB Offices, Maternity Fairs

Partner with a Clinical Champion

  • Clinical champion educator is notified when a patient submits a secure message. She logs in to SmarteXp, which allows for a timely response

  • Marketing team has a monthly 15 minute call with champion to gather feedback and offer support

  • Champion provides ideas for promotion and content based on clinical priorities and goals

Use Analytics to Show Program Impact

  • Post a printout of your monthly reports on team bulletin boards to share the impact of the program

  • Using short URLs helps track referral sources. Connect with your web team to help you with that!

  • Look at Top Links to see which URLs are generating the most traffic
